Extended Day Program Policy

Sussex School’s Extended Day Program’s mission is to empower students throughout Missoula with high-quality, accessible after-school programs where students have fun and find success through the arts, outdoor exploration, and extended core learning. We strive to create a welcoming space where creativity, curiosity, and community come together.

Registration and Deadlines

Sign-ups: All students must be signed up for their desired extended-day classes by the end of the first week of each session. This allows us to plan accordingly and ensure that classes are adequately staffed.

Late Registration: Late sign-ups will not be accepted after the first week of classes unless there is space available and instructor approval is granted.

Prorated Classes: We do not offer prorated fees for our Extended Day classes. Full session payment is required regardless of the number of days a student attends during the session.

Refunds

Refund Policy: No refunds will be provided after the first week of classes or within 7 days of a workshop unless the school cancels the class due to low enrollment or unforeseen circumstances.

Withdrawals: No refunds will be offered if a student withdraws from a class after the first week. Please plan carefully to avoid any financial inconvenience.

Minimum Enrollment

Class Minimum: A minimum of three students must be enrolled in order to run a class. If this minimum is not met by the end of the first week, the class will be canceled, and full refunds will be issued to those who have already enrolled.

Attendance and Absences

Attendance: Regular attendance is important to ensure that your child gains the full benefit of the program. If your child will be absent, please notify the extended day staff in advance whenever possible. Please check with the extended-day teacher to see if there are additional attendance requirements (i.e. to be eligible for a performance or competition).

Make-up Classes: In cases where a class is canceled due to inclement weather or other school-related events, a make-up class will be offered. If a make-up class is not possible, refunds will not be issued.

Behavior Expectations

Code of Conduct: Students are expected to adhere to the school’s discipline policy during all extended day programs. Failure to follow behavioral guidelines may result in dismissal from the program without a refund.

Late Pick-Up Policy

Pick-Up Time: All students must be picked up promptly at the designated end time for their class. If you are late for pick-up, you will be charged a $25 late fee, and you may be withdrawn from the extended day program after three violations.

Emergency Procedures

Emergency Contact Information: Parents/guardians must ensure that their contact information is up-to-date and accurate. In the event of an emergency, school staff will attempt to contact the listed individuals. If we are unable to reach a parent or emergency contact, appropriate authorities may be notified.

Communication

Program Updates: All communication about changes to schedules, updates, or cancellations will be sent via email. Please ensure that your email address is current and that you regularly check for updates.

Health and Safety

Allergies and Medical Conditions: Please ensure that all allergy and medical information is up to date in the Sawyer platform. Our staff will work to accommodate students’ needs, but families are responsible for providing any necessary medications or treatments.
